| Statement Type |
The Statement Type specified determines whether the statements are draft statements, pre-bills, or final statements.
| Draft |
Draft statements are simply reports of the current billable items, and can be used to preview what will be included if a final statement would be generated. Draft statements print the term "Interim Statement" in the upper right hand corner of the statement whereas final statements do not. If desired, this terminology can be edited on Line 3 of the Terminology tab of Statement Customization. Draft statements also give you the option to print the transaction Reference Numbers for each transaction. This is quite useful if draft statements are the documents used for final approval by the billing timekeeper. Since transactions are retrieved for editing by their reference numbers, you can easily make corrections while working from the draft statements rather than referring to another report for reference numbers. When Draft is selected, the following options are available: Note: Duplicate statements, email statements, and envelopes are not generated when draft statements are run. However, cover statements are generated. Note: If Statement Designer templates are used, and a Payment QR Code field is included in the page layout, the QR code will not be printed for draft statements. A payment link is only generated when printing final statements. |
| Pre-Bill |
Pre-bills are created to be reviewed and approved prior to creating a final statement. Pre-bills can be rerun or undone prior to generating final statements. Each client‘s pre-bill includes the Statement Date shown on the statement and the internally assigned batch number. If a pre-bill already exists for a client, the record will be replaced and a new pre-bill created that reflects the new Statement Date and batch number. Pre-bills can be reviewed on the Pre-Bill Tracking window. When Pre-Bill is selected, the following options are available: |
| Final |
Final statements include transactions that are ready to be updated when the Update Statements utility is run. Final Statements can be rerun or unbilled prior to running Update Statements. When running final statements, pre-bills are always created; final statements can be reviewed on the Pre-Bill Tracking window. When Final is selected, the Use Original Statement Number option is available except when finalizing existing pre-bills. In this case, the Use Original Statement Number option will be selected and unavailable. Note: Running final statements from the Generate Statements window overwrites any existing pre-bill; therefore, to ensure that final statements are identical to reviewed pre-bills, it is important to instead create these final statements by clicking the Final Statements button in the Pre-Bill Tracking window. Note: If necessary, a statement that has been run as a final statement but has not been updated can be reversed by unbilling it. Additionally, if a statement has been updated, it can be reversed by using the Undo Updated Statements utilities. Unbilling or unupdating statements removes the PDF statement from the Statements subfolder of the current working directory. Also the email statement in the Email Statements window is removed if the email has not been sent. |
Note: Rerunning a pre-bill or final statement regenerates the statement using the default report definition for Generate Statements. For example, creating a pre-bill and selecting the Cover Statements Only check box, then rerunning the pre-bill via Pre-Bill Tracking will generate a pre-bill that includes additional information, as that check box is not selected in the default report definition. Also, depending on changes made to the client's data, it is entirely possible that the regenerated statement may not exactly match the original statement. Most of these changes are format related, but in some cases, amounts may be affected (e.g., due to transaction adjustments, etc.).
Note: If a default report definition is not defined for the Generate Statements window, the Statement Type will default based on the Statement Type setting on the Pre-Bills tab of Statement Customization.
