A pre-bill refers to a preliminary statement that is to be reviewed and approved prior to creating a final statement. Unlike draft statements, a tracking record is automatically created for pre-bills, and transactions that have been included on a pre-bill are protected from editing.
Generating a pre-bill is optional. All transactions that are included on a pre-bill are protected, and any change will require opening the transaction from the Pre-Bill Tracking window. Pre-bills can be rerun or used to generate a final statement in the Pre-Bill Tracking window. Tabs3 Billing allows you to drill down to transactions when previewing a pre-bill, and gives you the option of printing transaction reference numbers on pre-bills for easy editing purposes.
Additionally, a “legacy” pre-bill record is a draft statement or a Detail Work-In-Process Report that is run with the Update Pre-Bill Tracking check box selected. These legacy pre-bill records are shown on the Pre-Bill Tracking window so they can be tracked, marked as reviewed or on hold, and used to generate a final statement. However, legacy pre-bill records do not create a full pre-bill, so the following features are adjusted:
- You will not be able to drill down to the Pre-Bill Information window to see a preview of the statement and make adjustments.
- Transactions included on the pre-bill are not protected, so all users with access rights can change or delete these transactions.
- The Final Statements button on the Pre-Bill Tracking window will display the Final Statement Options window with the Transactions tab available. A final statement will be generated based on these settings, not on the original transactions included on the draft statement.
To gain the additional features of a pre-bill, run Generate Statements with a Statement Type of “Pre-Bill” rather than a draft statement or Detail Work-In-Process Report with Update Pre-Bill Tracking.
