The Payment Adjustment program allows you to reverse an entire payment or refund a portion of a payment that has already been billed and updated (i.e., a processed payment). The payment information is backed out of the client ledger/accounts receivable information and the receipt allocation information automatically.

Note: Make a backup before running this program. If this program is interrupted for any reason, it may be necessary to restore your data files and rerun this program. You will be given the opportunity to make a temporary backup immediately after selecting this program.

The OK button can be used to adjust the payment. You will be asked to confirm that you want to adjust the payment. If the payment has a linked credit card transaction, you will be asked if you want to create a void/credit transaction in the Tabs3 Pay®, LawPay®, or LexCharge® processing system. A Payment Adjustment Options dialog box will be displayed, allowing you to select what will be done with the amount of the adjustment. After the payment is adjusted, the Payment Adjustment Description window will be displayed allowing you to enter an optional Type 4 ("description only") transaction for audit trail purposes and to print on the client's statement. After entering the information for the transaction, click OK to save the "description only" transaction. Otherwise, click Cancel if you do not want to add a "description only" transaction. Regardless of whether you save the "description only" transaction, the payment will be adjusted and you will be returned to the Payment Adjustment window.

The Cancel button can be used to close the Payment Adjustment window. If payments have been adjusted, a Payment Adjustment Verification List window is displayed. Clicking Yes will display the Print dialog box, allowing you to generate a verification list of adjusted payments.

Note: The verification list is a temporary list and will be deleted if it is not printed at this time.

GL Integration Note: When integrating with GL, an unapplied payments account must be defined before this program can be accessed.

GL Integration Note: Adjusting GL journal entries can be created when payments are adjusted.

GL Integration Note: Changes are not made to deposit slips when a payment is adjusted. An Error Report will be generated if the payment being adjusted is included on a deposit slip, indicating that the deposit slip may need to be adjusted.

QuickBooks Note: Adjusting QuickBooks journal entries are created when payments are adjusted if integrating with QuickBooks using the QBXML format.

Trust Note: Adjusting a payment that originated from a manual payment to firm in Trust will not affect the trust transaction in Trust. Any changes to the associated trust transaction must be made in Trust.

Trust Automatic Payments Note: If adjusting a payment record that originated from an automatic trust payment, a message will be displayed indicating that the associated trust transaction in Trust will not be affected. Any changes to the associated trust transaction must be made in Trust.
