The Options window is shown when saving a refund or reversal from the Payment Adjustment program, or saving a Withdrawal from the Client Funds Entry program. This window allows you to select what steps will be performed with the amount of the transaction. This allows you to easily determine additional steps that may need to be taken, and assist with creating new data entry transactions if necessary. If integrated with Tabs3 General Ledger (GL), the selection will also determine whether adjusting journal entries are created for the transaction.

Are you going to write a check?

Select Yes if you will be writing a check for the amount of the transaction.

GL Integration Note: If you are integrating with GL, adjusting GL journal entries can be created when payments are adjusted or when adding a client funds withdrawal transaction.

  • Selecting Yes will save the transaction without creating journal entries. Select this course of action if you will be using Tabs3 Accounts Payable (AP) to issue a refund check. This is because the adjusting GL journal entries will be created in AP when entering an invoice/manual check for the client's refund check and posted to GL when the invoice/manual check is posted.
  • Clicking No will save the transaction and create journal entries in GL.
  • Clicking Cancel will exit the Options window without saving the transaction.

A note at the bottom of the Options window will indicate whether adjusting journal entries will be created in GLS based on the selected option(s).

Select No if you will not be writing a check. When No is selected, the None, Create a Payment for Client and Deposit into Client Funds for Client options become available.

None The None option is only available when No is selected above. Select None if you have already performed all actions with the amount of the transaction. For example, select None if you are providing a cash refund following a refund using Payment Adjustment.
Create a Payment for Client The Create a Payment for Client option is only available when No is selected above. Select Create a Payment for Client to start a new payment entry for a client based on the amount of the transaction. When Create a Payment for Client is selected, enter the Client ID for whom the payment will be applied. When you click OK, a new payment entry will be started for the selected client and the amount of the transaction.
Deposit into Client Funds for Client The Deposit into Client Funds for Client option is only available when No is selected above. Select Deposit into Client Funds for Client to start a new client funds deposit entry for a client based on the amount of the transaction. When Deposit into Client Funds for Client is selected, enter the Client ID for whom the deposit will be created. When you click OK, a new client funds deposit entry will be started for the selected client and the amount of the transaction.

Clicking the OK button will confirm the selection, close the Options window, save the payment adjustment or withdrawal transaction and, if Create a Payment for Client or Deposit into Client Funds for Client is selected, start a new data entry transaction for the selected client.

Clicking the Cancel button will close the Options window without confirming the selection and return you to the Payment Adjustment or Client Funds entry window.
