The receipt information fields are available for all payments and consist of the following fields:

Receipt Type There are multiple Receipt Types:
Cash A Receipt Type of Cash is used for payments by cash or currency.
Check A Receipt Type of Check is used for payments by check. You can specify the check number in the Check # field.

Visa - XXXX
MC - XXXX
Disc - XXXX
Amex - XXXX
Dine - XXXX
JCB - XXXX

(Tabs3 Pay / LawPay)

These Receipt Types indicate an existing Tabs3 Pay™ or LawPay® credit or debit card payment method. The first portion indicates the card type:

  • Visa
  • MC - Mastercard
  • Disc - Discover
  • Amex - American Express
  • Dine - Diner’s Club
  • JCB

The second portion of the Receipt Type is the last four digits of the card’s account number.

When one of these receipt types is selected, the payment will be processed automatically using the specified payment method when the payment is saved.

eCheck - XXXX

(Tabs3 Pay / LawPay)

A Receipt Type of eCheck - XXXX indicates an existing Tabs3 Pay or LawPay eCheck payment method. The numbers shown indicate the last four digits of the bank account number assigned to the payment method.

When this receipt type is selected, the payment will be processed automatically using the specified payment method when the payment is saved.

Note: When reviewing a previously saved Tabs3 Pay or LawPay payment, the icon will be displayed to the right of the Receipt Type field. Clicking this button will open the Electronic Transaction Receipt window, allowing you to view the transaction details.

Tabs3 Pay Note: To add a new Tabs3 Pay payment method click either the Add Payment Method link (if there are no existing payment methods) or the Manage Payment Methods link. You can also access the Manage Payment Methods window from the Take Action pane of the Tabs3 Billing Matter Manager.

LawPay Note: To add a new LawPay payment method click either the Add LawPay Payment Method link (if there are no existing payment methods) or the Manage LawPay Payment Methods link. You can also access the Manage LawPay Payment Methods window from the LawPay tab of the Client file.

Note: Sensitive cardholder information is not retained in Tabs3 Billing.

Credit Card

A Receipt Type of Credit Card is used for credit card payments by the client. If desired, you can specify the type of credit card in the Ref./Memo field. You may also want to include the last four digits of the credit card number in the Ref./Memo field.

Note: When the Receipt Type of Credit Card is selected, and Tabs3 Billing is configured to allow processing of LexCharge credit card transactions, the LexCharge Credit Card Authorization window will be displayed after the payment is saved. This window allows you to enter all of the information necessary to process a credit card transaction.

When reviewing a previously saved LexCharge credit card payment, the icon will be displayed to the right of the Receipt Type field. Clicking this button will open the Credit Card Transaction window, allowing you to view the transaction details.

Note: When applying payments to multiple matters, the Credit Card Authorization window will not be displayed. LexCharge credit card payments cannot be accepted for payments to multiple matters.

Note: When the Payment Entry window is opened via the Import Online Payments window, the Receipt Type field is set to Credit Card, and cannot be edited.

Note: If you select a Receipt Type of Credit Card while you have Tabs3 Pay or LawPay integration enabled for payments, upon saving the payment you will receive a message asking to confirm that you want to process the payment using a method other than Tabs3 Pay or LawPay.

If you click Yes, you will either proceed to the LexCharge Credit Card Authorization window (if LexCharge is enabled and configured for payments) or the payment will be saved without being processed electronically (if LexCharge is not enabled or is not configured for payments).

If you click No, you will be returned to the payment entry window without saving the transaction.

Other A Receipt Type of Other can be used if the other available options do not apply, such as a money order.
  Client Funds

A Receipt Type of Client Funds is used when a statement is updated in Tabs3 Billing that has a client funds payment.

Note: The Receipt Type of Client Funds can be used as a label for a payment transaction without any impact on the Client Funds information. When a Payment to Firm is created from Client Funds with a Fund Application of WIP Payment, a linked payment transaction will be created with a Receipt Type of Client Funds. When reviewing a saved payment linked to a client funds transaction, the icon will be displayed to the right of the Receipt Type field. Clicking this button will open the Client Funds Entry window, allowing you to view the linked transaction details.

EFT A Receipt Type of EFT (Electronic Funds Transfer) is typically used for wire transfers into the firm's bank account for a client's payment. An EFT is similar to a check transaction, except that no check number is entered.
Check #

Maximum of 20 characters. The Check # field is available only when a Receipt Type of Check is specified. If integrating with Tabs3 General Ledger (GL), the check number specified here for the client's payment is saved to the Check # field in the GL journal entry and is used primarily for audit trail purposes.

Ref./Memo

The Ref./Memo field allows you to enter an optional reference or memo regarding the receipt information. If the Receipt Type is Check, the Tabs3 Client ID will be placed in this field. If integrating with GL, the information specified in this field will be saved to the Reference field in the GL journal entry. If the payment was created automatically from a Tabs3 Trust Accounting (Trust) payment to firm, this field will contain the memo field from the Trust transaction.

Note: When applying a payment to multiple matters, the Ref./Memo field for each journal entry will default to the original Client ID for which the payment was entered.

Note: Changing the Receipt Information for a payment transaction in Tabs3 Billing will make corresponding adjustments to the associated GL journal entries.

GL Integration Information

When integrated with Tabs3 General Ledger (GL), the receipt information is saved with the associated GL journal entries that are created. The receipt information is used to create deposits in GL that consist of Tabs3 Billing payments and other debits to a GL bank account. A Deposit Summary can be printed in GL that can be used to accompany the bank deposit. Deposits can also be reconciled when using the GL Reconciliation program.

The receipt information fields will integrate to GL when:

Note: If a journal entry created from the payment has a Status of Cleared or Reconciled, or the journal entry is included on a Deposit Slip, changes to the Receipt Type field or the Check # field will not propagate to the GL journal entry. Manual changes must be made to the journal entry via GL.
