| Apply Payment to Multiple Matters |
Tabs3 Billing can apply a single payment to multiple matters for a client. After entering an initial payment for the entire amount, individual payment entries can be generated for each of the client's matters and statements with an amount due.
To apply a payment to multiple client
matters
- In the Quick Launch, search for and select “Payment Entry.”
- Click the Client
button and select the desired client. - Click
on the toolbar.
Enter the desired information for the payment entry including the total amount of the payment received.
Do not save this payment entry. - Click the
button (or press Alt+A) to open the Payment
Amounts for Multiple Matters window. If there are no matters with a balance due, the Payment Amounts for Multiple Matters window will not be displayed and the payment will be saved based on the current settings.
Note: This button is only available when the payment is entered. It becomes unavailable once the payment is saved. Therefore, if a payment is entered that later needs to be applied to multiple matters, the payment must be deleted and re-entered in order to be applied as desired.
Note: When applying a payment to multiple matters, the Ref./Memo field for each journal entry will default to the original Client ID for which the payment was entered.
Note: When creating a payment that applies to multiple matters from a pre-bill, the payment for the pre-bill’s matter will automatically be included on the pre-bill and the payments for other matters will be saved as work in process.
Note: LexCharge credit card and eCheck payments cannot be accepted for payments to multiple matters. When applying payments to multiple matters, the Credit Card Authorization window will not be displayed when selecting a Receipt Type of Credit Card.
GL Integration Note: When Tabs3 Billing is configured to integrate with Tabs3 General Ledger (GL), multiple journal entries will be created for the payment when applied to multiple matters. However, a combined transaction for the payment is shown when reconciling or creating a deposit slip.
