The Pre-Bill Information window consists of two main areas: a Pre-Bill Summary and a Pre-Bill Preview.

Pre-Bill Summary At the top of the window, the summary section displays information about the client, matter, and pre-bill shown. The following information is included:
  Client Name
Client ID | Work Description
Displays the Client Name, Client ID, and Work Description of the client for the current pre-bill. If the Client Name is blank, the Contact ID for the client contact will be shown instead.
  Statement Date
Statement #
Displays the Statement Date and Statement Number for the current pre-bill.
  Assigned to

Displays the User Name of the user assigned to review the pre-bill. If the User Name is blank, the User ID of the assigned user will be shown instead. If no user is assigned, “Unassigned” will be shown.

To edit the assigned user, hover the mouse over the field and click the icon next to the field name to open the Assign for Review window.

  Billed
Due
Displays the total amount billed on the current pre-bill and the total due (unpaid) for the matter.
Pre-Bill
Preview

A preview of the selected pre-bill is shown, allowing easy access to the detail of what was included. The preview section includes drill-down editing capabilities.

Note: The pre-bill preview shown is regenerated using the current client settings, default report definition for Generate Statements, and transactions.

Technical Note: A common misconception is that the Pre-Bill Information window retrieves a stored copy of the pre-bill that is identical to the original pre-bill; this is not true. It is important to note that the process actually regenerates the pre-bill using the current client settings and transactions. Also, depending on changes made to the client's data, it is entirely possible that the pre-bill may not exactly match the original pre-bill. The original options used in Generate Statements are preserved, as well as the client’s default draft statement template, so the format of the statement is retained; however, in some cases amounts may be affected (e.g., due to transaction adjustments, use of info only fees, etc.).

The Pre-Bill Information window also includes two panes on the right side of the window:

Take Action

Comments

Tip: During the review process, use the Comments pane to make note of who is performing the review, what needs to be changed, and when the statement is ready to be sent to the client. These comments are preserved throughout the billing process, and can be viewed on the Pre-Bill Information or Final Statement Information window. Comments are not available once a final statement has been updated.

Drill-Down Capabilities

The statement preview has drill-down editing capabilities. When you mouse over a drill-down field, it will be highlighted in yellow. Clicking this field will open the appropriate entry window for that field, allowing you to view or edit the record. For example, if you want to edit a fee transaction, simply click on the fee and the Fee Entry window will be displayed for that transaction. If you want to use drill-down capabilities for pre-bills, the Fee Format must be set to Standard or Info Only. Alternatively, in the Take Action pane, click Select Fees or Select Costs to display unbilled fee or cost transactions. You can include or exclude transactions from the pre-bill or use the Edit button to open the transaction in the entry window for that transaction.

Note: While drilling down to a transaction, attempting to add a new transaction or open a different transaction will display the following message:

Unable to add or change additional transactions when modifying the contents of a pre-bill.

Click OK to close the message, make any necessary changes to the current transaction, then save.

After saving the change and closing the data entry window, you will be returned to the Pre-Bill Information window. The pre-bill will be updated to reflect the change you just made.
