Configuration

Split Billing is configured using the Split Billing tab of the Client file. To implement Split Billing, you must first specify the main client. The main client is the client record that stores the split billing information and whose fees, expenses, and/or advances will be split among other matters. You can configure clients to split both hours and amount, or split the hours and calculate the amount based on each split matter's fee rate configuration. Likewise, when splitting costs, you can configure clients to split units and amount, or split the units and calculate the amount based on each split matter's cost rate configuration.

Once you specify the main client, you can then define the split matters for that client. The split matters are the matters who will receive a portion of the main client's fees and/or costs.

When defining split matters, you have the option of showing pre-split values on statements, as well as a Split Billing Summary in either Detail or Summary format. If you want the main client to be billed a percentage of the fees and/or costs, then you must also add a split matter entry for the main client.

As fees and costs accumulate, they are entered for the main client in the usual manner. You can track which matters are configured for split fee billing using the Split Billing Report.

Split Billing Process

Once fees and costs have been entered for the main client, and the time comes to prepare bills for the clients, the Perform Split Billing program must be run. This program takes all fees and/or costs from the main client and splits the amount for each transaction among the specified split matters. The splitting of each transaction is done using the percentages and options designated in the Split Billing tab of the Client file. Once Tabs3 determines the amounts of the split transactions, it copies the transactions to the various split matters with the adjusted amounts. If the main client is not also set up as a split matter, then the transactions that are split are removed from the main client's work-in-process when the Perform Split Billing program is run. Information for each split billing batch is stored in the Split Billing Verification List.

Once the Perform Split Billing program has been run, the Generate Statements program can be run.

Note: If a final statement is run for a main client with transactions that have not been split, an entry will be made in the Report Log, which can be viewed immediately after generating statements.

Separate accounts receivable and productivity figures are maintained for each split matter.

The split billing process can be reversed for a single split billing main client using the Undo Split Billing program.

Note: Do not confuse Split Billing with the Statement Delivery Options table found on the Billing Preferences tab of the Client file. The Additional Bill To record in this table is used to send a duplicate statement to a third party or to send a client's statement to a third party.
