Select this check box if you want “legacy” pre-bill records to appear on the Pre-Bill Tracking window for clients included on this Detail Work-In-Process Report. Each client included on the report will have a pre-bill created which includes the Report Date shown on the Detail Work-In-Process Report and the internally assigned batch number. If a pre-bill already exists for a client, the record will be updated to reflect the new Report Date and batch number.

Selecting this check box also determines to some extent whether a client will be included on the report. When the Update Pre-Bill Tracking check box is selected, the Detail Work-In-Process Report is designed to select the same clients that would be selected or excluded when statements are run. For example, a client who has work-in-process and no previous balance will not be included on the report if the client's Release To Bill check box is cleared and the Detail Work-In-Process Report is run with the Update Pre-Bill Tracking check box selected. This same client will, however, be included on the report when the Detail Work-in-Process Report is run with the Update Pre-Bill Tracking check box cleared.

Note: When the Update Pre-Bill Tracking check box is selected, clients whose Release To Bill check box and Bill On Demand check box are cleared will be excluded from the report. When the Update Pre-Bill Tracking check box is selected, clients with work-in-process whose Release To Bill check box is cleared and Bill On Demand check box is selected will be included on the report if they have an accounts receivable balance.

Clear this check box if you do not want legacy pre-bill records to be created for the clients on this report.

Note: Pre-bills and final statements cannot coexist for the same client. Generating a pre-bill or final statement will override the existing record for that client; however, legacy pre-bills will not override an existing pre-bill or final statement.

Note: Legacy pre-bill records can be tracked, marked as reviewed or on hold, and used to generate a final statement. However, legacy pre-bill records do not create a full pre-bill, so the following features are adjusted:

  • You will not be able to drill down to the Pre-Bill Information window to see a preview of the statement and make adjustments.
  • Transactions included on the pre-bill are not protected, so all users with access rights can change or delete these transactions.
  • The Final Statements button on the Pre-Bill Tracking window will display the Final Statement Options window with the Transactions tab available. A final statement will be generated based on these settings, not on the original transactions included on the draft statement.

To gain the additional features of a pre-bill, run Generate Statements with a Statement Type of “Pre-Bill” rather than a Detail Work-In-Process Report with Update Pre-Bill Tracking.

Note: Pre-bills are not created when the Detail Work-In-Process Report is run by working timekeeper (regardless of whether the Update Pre-Bill Tracking check box is selected).
