Note: In many situations, the write-up/write-down process cannot be easily reversed. Therefore, as a precaution, you may want to consider making a backup before performing a write-up or write-down. For example, if you write-up a client and realize that you want to reverse it, you could write-down the client to the same amount before the write-up. However, due to rounding, the amounts may not be exactly the same as they were before the write-up. For example, a rate may have been 150.00 before the write-up, but after reversing it may be 149.99.

When the fee amount is written up or down, the number of hours to bill on the fee transactions will not be affected unless you also write-up or write-down the number of hours to bill. Likewise, when the fee hours to bill is written up or down, the amount on the fee transactions will not be affected unless you also write-up or write-down the amount. In either case, worked hours are not affected.

Progress fee transactions (Type 6) and credit transactions will not be adjusted.

Transactions that have been included on a pre-bill will be adjusted. When accessed from the Pre-Bill Information window, the Client will default to the matter for the pre-bill.

Transactions that have been run on a final statement and updated will not be adjusted.

Transactions that have been run on a final statement but have not been updated will be adjusted. If these transactions are adjusted, another final statement needs to be run after the write-up/write-down is performed.

If the user writing-up/writing-down transactions is assigned Tabs3 Timekeepers, only transactions for assigned timekeepers will be included.

Some transactions may differ by .01 for the Amount and/or Hours fields after the write-up/write-down due to rounding.

Writing Up or Down Amounts

Only billable transactions with an amount will be adjusted. The amount of each fee or cost transaction affected will be proportionately adjusted based on the Amount. However, exceptions to this general rule include the following:

If all fee transactions have a 0.00 amount, then the transactions will be prorated based on "hours to bill x rate."
If all fee transactions have a 0.00 amount and 0.00 rate, then the transactions will be prorated based on hours to bill.
If all fee transactions have a 0.00 amount and 0.00 hours to bill or if all fee transactions have a 0.00 amount, 0.00 rate and 0.00 hours to bill, then each fee transaction will have an equal amount.
If all cost transactions have a 0.00 amount, then each cost transaction will have an equal amount.

Writing Up or Down Hours

Only billable transactions with Hours to Bill will be adjusted. The amount of each fee transaction will be proportionately adjusted based on the hours to bill. However, exceptions to this general rule include the following:

If all transactions have 0 hours to bill, the hours to bill will be prorated based on the number of transactions (not the amount). For example, if you have 5 transactions, each transaction will be assigned 20% of the total number of hours written up or down.

When adjusting hours, only the Hours to Bill field is adjusted; the Worked Hours field is not affected.

Note: Examples with values other than zero can be found in the Write-Up/Write-Down Overview.

Costs from AP Invoices

Adjusting cost entries in Tabs3 Billing that were entered via AP when you are integrated with GL will create adjusting journal entries via AP. These are shown on the General Ledger tab of the Invoice/Manual Check Entry window.

GL Journal Entries

Adjusting GL journal entries are created automatically when costs are written up or down. When adjusting entries are created for costs entered using Tabs3 Billing, a GLS Adjusting Journal Entries window may be displayed allowing you to specify the date you want used for the reversing journal entries.

When a cost is written up or down, two sets of journal entries are created:

Note: In the event a cost entry had multiple debit or credit journal entries, then the amounts for the new journal entries are proportionately adjusted and any left over amount due to rounding will be included with the last debit and/or credit account.
