Fee Amounts

Write-ups and write-downs of fee amounts can be done by any of the following methods:

Whenever Hours to Bill x Rate does not equal the Amount entered, Tabs3 Billing calculates the difference between the calculated amount and the Amount specified and treats the difference as a write-up or write-down. For example, if you enter 2 hours at $200 per hour and an amount of $300, Tabs3 Billing calculates a write-down of $100 [i.e., $300 minus ($200 x 2 hrs.) = $100 write-down].

Hours

Write-ups and write-downs of hours can be done using any of the following methods:

Tabs3 Billing tracks two hours fields for each fee transaction:

When making fee entries, you enter the Hours Worked field. The Hours to Bill field defaults to the number of hours entered in the Hours Worked field. If the Hours to Bill field does not match the Hours Worked field, Tabs3 Billing calculates the difference between the two hours fields and treats the difference as an Hours Write-Up or Hours Write-Down. Additionally, Tabs3 Billing calculates the value of each transaction using both hours fields. The difference in value is treated as a Write-Up Hours Value or Write-Down Hours Value.

For example, if you enter 1 Hour Worked at $100 per hour and change the Hours to Bill from 1 hour to .75 hours, Tabs3 Billing will treat this as a

As another example, if you enter 1 Hour Worked at $200 per hour and change the Hours to Bill to 1.5, Tabs3 Billing will treat this as a

When working with fees, it is possible to have a write-up or write-down of both amount and hours. Whenever Hours to Bill x Rate does not equal Amount, Tabs3 Billing calculates a Write-Up or Write-Down. Whenever Hours Worked does not equal Hours to Bill, Tabs3 Billing calculates a Write-Up Hours and Write-Up Hours Value OR a Write-Down Hours and Write-Down Hours Value.

For example, let's say you enter 2 Hours Worked, 1 Hour to Bill, a rate of $150 per hour and an amount of $250. Tabs3 will calculate:

Costs

Write-ups and write-downs of costs can be done using the following method:

Note: Although amounts for costs can be manually adjusted before they are billed, the write-up or write-down for the cost is not tracked unless it is written up or down using the Write-Up/Write-Down Fees and Costs utility.

Note: Examples with values of zero can be found in the Notes about the Write-Up/Write-Down Utility.

How Write-Ups & Write-Downs are Shown on Reports

Tracking of write-ups and write-downs is shown on various reports.

Detail Work-In-Process Report

The Detail Work-In-Process Report will show the Write-Up/Write-Down Hours of unbilled fee transactions if the Write-Up/Write-Down Hours column is selected on the Format tab.

The amount shown in the Write-Up/Down Amt column for fees depends on whether the Write-Up/Write-Down Hours column is selected.

  • When the Write-Up/Write-Down Hours column is selected, the figure in the Write-Up/Down Amt column is based on the Hours Worked [i.e., Amount minus (Rate x Hours Worked)].

  • When the Write-Up/Write-Down Hours column is cleared, the figure in the Write-Up/Down Amt column is based on the Hours to Bill[i.e. Amount minus (Rate x Hours to Bill)]. The value of the difference between the Hours Worked and Hours to Bill is not included.

Client Ledger

The Client Ledger Report will show Write-Up and Write-Down for updated statements if the Non-Billable Information column is selected on the Format tab. Furthermore, the Write-Up/Write-Down amounts shown on the report depend on whether the Hours column is selected on the Format tab.

If the Non-Billable and Hours columns are selected, then the Write-Up and Write-Down Fee Amounts will include the value of the Hours written up or down. Otherwise, if the Non-Billable column is selected and the Hours check box is cleared, then the Write-Up and Write-Down Fee Amounts will only include the calculated dollar amount of the write-up/write-down based on Hours to Bill [i.e., Amount minus (Rate x Hours to Bill)].
