To add a new payment from the Payment Entry window

  1. From the File menu, point to Data Entry, and then select Payment.
  2. Click the Client button and select the desired client.
  3. Click on the toolbar. Enter the desired information for the payment.

GL Integration Note: When Tabs3 Billing is configured to integrate with Tabs3 General Ledger (GL), and the payment transaction's date is outside of the GLS Date Restrictions, a message will be displayed. The message displayed depends on your access rights and the defined restrictions.

GL Note: To see GLS Integration information, click on the toolbar. After you are finished posting journal entries, press ESC to close the window.

  4. Click on the toolbar to save the new payment.

Credit Card Payment Note: When saving a credit card payment entry with a Receipt Type of Credit Card, and Tabs3 is configured to allow processing of credit card transactions, the Credit Card Authorization window will be displayed. Once you have successfully processed the credit card payment, you will be able to print a receipt for this transaction.

Once the first payment transaction for a data entry session has been entered, the defaults for subsequent payment transactions will be the same as the previous transaction. However, the Statement # field will be blank and the Amount field will be zero for each new transaction.

Note: A user will not be able to add a payment entry unless that user has been assigned access rights to add payment entries.

GL Integration Note: If users have rights to add payment entries and Tabs3 Billing is configured to integrate with GL, the users have rights to add journal entries for payments into GL via Tabs3 Billing.

Tabs3 Billing attempts to create all necessary journal entries in GL automatically. If an invalid account or journal is encountered in the GLS Integration Setup, a message will be displayed stating such. Clicking OK will open the GLS Integration window, allowing adjustments to be made to the integration information. If a user does not have access to the GLS Integration window, either adjusting entries will have to be made in GL manually, or the payment transaction can be deleted, corrections to the GLS Integration Setup be made, and the payment reentered into Tabs3 Billing.
