| GLS Journal Entries |
The GLS Integration window is used to display, as well as post GLS journal entries for the associated Tabs3 costs and payments via the Transaction tab. Additionally, changes to the associated GLS journal entries can be tracked via the Batch tab.
Click on the desired tab when
appears for information about that program tab.

Note: In order for the GLS Integration window to be displayed, a user must be assigned the appropriate access rights in System Configuration (i.e., Detail Payment GLS View and Detail Cost GLS View).
Note: The Debits and Credits must balance before the GLS Integration window can be closed.
When the GLS Integration Window is Displayed
Tabs3 can be configured to post GLS journal entries for costs and/or payments. Posting of new GLS journal entries can be done automatically (i.e., without any input from the user) or via the GLS Integration window. Posting occurs after adding a cost or payment transaction in Tabs3.
In order for GLS journal entries to be posted automatically without the GLS Integration window being displayed, the following must occur:
- Tabs3 must be configured to integrate with GLS in Tabs3 Customization.
- The designated posting method(s) for the cost or payment transaction must be
configured to integrate with GLS and must have a GLS Debit Account, GLS Credit Account, and GLS Journal
defined in the GLS
Integration Setup program.
The GLS Integration window can optionally be displayed by clicking the GLS Integration toolbar button
while entering cost or payment transactions.
The GLS Integration window is also displayed when Tabs3 is configured to integrate with GLS and a Debit Account, Credit Account, or Journal is not defined for the designated posting method of the cost or payment transaction.
Notes
- If the journal entries created in this window do not total the amount of the payment entry, a warning message will be displayed when attempting to close the GLS Integration window. Clicking OK will save the payment journal entries and close the window, while clicking Cancel will return you to the GLS Integration window.
- When payments or costs are configured to post journal entries based on Tcode, and transaction codes in the GLS Accounts Table are configured without a GLS Debit Account, GLS Credit Account or GLS Journal, the GLS Integration window will be displayed, provided the user has access rights to the GLS Integration window. If the user does not have access rights to the GLS Integration window, a message will be displayed indicating as such, and no journal entries for the transaction will be posted.
- Journal entries are not created for transactions with a Status of Save. If you want journal entries to be created each month, we recommend adding recurring entries in GLS for the transaction.
- Journal entries for reversed payments cannot be changed.
- Journal entries for unapplied payments cannot be deleted. Tabs3 will automatically create adjusting journal entries when payments are allocated. Only the Journal #, Reference, and Description fields can be edited in GLS.
- For task based billing clients, an Expense ID is entered in lieu of a transaction code. Accordingly, the GLS integration options for the Cost Transaction Code associated with the Expense ID are used.
