The Tabs3 Billing tab of the Import Online Payments window allows you to create payment records in Tabs3 Billing for electronic payments received directly through a Tabs3 Pay®, LawPay®, or LexCharge® Payment Link. All of the payments currently available for import are listed in this window, and a count of all displayed payments is shown next to the name of the tab. Each record displays the following information:
|
Client ID |
The Client ID column displays the Client ID associated with each payment. |
|
Client Name |
The Client Name column displays the contents of the Client Name field on the Address tab of the Client file for each payment record. |
|
Work Description |
The Work Description column displays the contents of the Work Description field on the Address tab of the Client file for each payment record. If the payment is for a combined statement, “Payment to Multiple Matters” will be displayed instead. |
|
Statement # |
The Statement # column displays the Statement Number assigned to the statement or invoice for which the payment was received. Note: |
|
Statement Due Amount |
The Statement Due Amount column displays the Amount Due specified on the email statement sent to the payee. |
|
Total Current Balance Due |
The Total Current Balance Due column displays the matter’s current balance due in Tabs3. |
|
Payment Date |
The Payment Date column displays the date the online payment was made. |
|
Payment Amount |
The Payment Amount column displays the amount paid by the online payment. |
Payments can be hidden from the Import Online Payments window if necessary (e.g., a payment was made in error and will be rejected, or a payment has already been manually entered in Tabs3 Billing).
- To exclude payments, select the transactions to be hidden, right-click on the Import Online Payments list and select Exclude Transaction.
- To display excluded payments, right-click on the Import Online Payments list and select Show Excluded Transactions. Payments that were marked as excluded will be shown as dimmed.
- To include payments again, select the excluded transactions, then right-click on the Import Online Payments list and select Include Transaction.
You can import individual payments or groups of payments by selecting them from the list. See Selecting Multiple Records for information on selecting multiple records from a list.
Double-clicking a record in the list above will display the Payment Entry window for the payment being imported. The Import Method setting will be changed to View each Payment record before creating, if it was not already.
You can change the primary sort of the records by clicking a column heading. A
sort indicator will be shown in the column heading indicating the primary sort order. Clicking the same column heading again will reverse the sort order and change the sort indicator to a
sort indicator. The default sort order is Payment Date. Records are then sorted by Client ID, followed by Entry Date.
Note: The Import Online Payments icon in the Home Page or Quick Launch pane displays a badge count of payments available for import. Tabs3 checks for new online payments and updates the count under the following circumstances:
- The first time someone logs into Tabs3 Billing each day, Tabs3 Billing checks for new payments and updates the badge count.
- Each time the Import Online Payments program is opened, Tabs3 Billing checks for new payments and displays a list of payments currently available for import.
- When the Import Online Payments window is closed, the badge count is updated for the user who opened the window to reflect the remaining number of payments that have not been imported. On a Platinum system, the badge count will also be updated for all other users within five minutes of the Import Online Payments window being closed.
The count does not include payments that have been hidden using the Exclude Transaction option.
Payments can be imported in two ways:
| Create Payment records silently |
Select this option if you want to create payment records for the selected payments without reviewing each record individually. Select a Payment Tcode to assign to the imported payment records. |
|
Note: To create the payment records silently using multiple payment tcodes:
Note: When creating payment records silently, payments are allocated automatically using each matter’s current payment settings. If you need to manually allocate payments, use the View each Payment record before creating option instead. Note: If an imported payment is larger than the current balance for the matter, the remaining portion of the payment will automatically be saved as an unapplied balance when creating payment records silently. The Unapplied Payment Options window will not be displayed. |
|
| View each Payment record before creating |
Select this option if you want to view each selected payment record in the Payment Entry window and optionally make changes to the payment before saving. Note: The Amount field in the Payment Entry window will be locked to the amount of the imported payment. |
|
Note: Clicking the |

| Note: If you need to apply a payment to multiple matters, you will need to select the View each Payment record before creating option. |
Click Import Selected to import the selected payments using the specified settings.
- If you selected Create Payment records silently, a window will be displayed indicating the progress of the import process.
- If you selected View each payment record before creating, a Payment Entry window will be displayed for the first selected payment. As you edit and save each record, the next payment to import will be displayed in the Payment Entry window until all of the selected payments have been processed.
Note: The Payment Verification List will be displayed when closing the Import Online Payments window if payments have been imported.
Secure Client Note: Payments for a Secure Client can only be imported by a user with access to the client.
