The Trust Accounting tab of the Import Online Payments window allows you to create trust deposit transactions in Tabs3 Trust Accounting for payments received through a Tabs3 Pay™ Trust Request Link. All of the deposit payments currently available for import are listed in this window, and a count of all displayed deposits is shown next to the name of the tab. Each record displays the following information:
|
Client ID |
The Client ID column displays the Client ID associated with each payment. |
|
Client Name |
The Client Name column displays the contents of the Client Name field on the Address tab of the Trust Account Information window for each deposit payment. |
|
Work Description |
The Work Description column displays the contents of the Work Description field on the Address tab of the Trust Account Information window for each deposit payment. |
|
Bank # |
The Bank # column displays the Bank Account number assigned on the Address tab of the Trust Account Information window for each deposit payment. |
|
Amount Requested |
The Amount Requested column displays the requested deposit amount of the Trust Request. Note: If the deposit was generated via the Scheduled Payments feature, “Schedule” will be displayed in the Amount Requested column. |
|
Payment Date |
The Payment Date column displays the date the online payment was made. |
|
Payment Amount |
The Payment Amount column displays the amount paid by the online payment. |
Payments can be hidden from the Import Online Payments window if necessary (e.g., a payment was made in error and will be rejected, or a deposit has already been manually entered in Trust).
- To exclude payments, select the transactions to be hidden, right-click on the Import Online Payments list and select Exclude Transaction.
- To display excluded payments, right-click on the Import Online Payments list and select Show Excluded Transactions. Payments that were marked as excluded will be shown as dimmed.
- To include payments again, select the excluded transactions, then right-click on the Import Online Payments list and select Include Transaction.
You can import individual payments or groups of payments by selecting them from the list. See Selecting Multiple Records for information on selecting multiple records from a list.
Double-clicking a record in the list above will import the selected payment as a deposit in Trust. A confirmation window will be displayed.
You can change the primary sort of the records by clicking a column heading. A
sort indicator will be shown in the column heading indicating the primary sort order. Clicking the same column heading again will reverse the sort order and change the sort indicator to a
sort indicator. The default sort order is Payment Date. Records are then sorted by Client ID, followed by Entry Date.
Note: The Import Online Payments icon in the Home Page or Quick Launch pane displays a badge count of payments available for import. Tabs3 Billing checks for new online payments and updates the count under the following circumstances:
- The first time someone logs into Tabs3 Billing each day, Tabs3 Billing checks for new payments and updates the badge count.
- Each time the Import Online Payments program is opened, Tabs3 Billing checks for new payments and displays a list of payments currently available for import.
- When the Import Online Payments window is closed, the badge count is updated for the user who opened the window to reflect the remaining number of payments that have not been imported. On a Platinum system, the badge count will also be updated for all other users within five minutes of the Import Online Payments window being closed.
The count does not include payments that have been hidden using the Exclude Transaction option.
Click Import Selected to import the selected payments as deposits in Trust.
A confirmation window will be displayed when importing Trust deposits. Click OK to create deposits in Trust, or click Cancel to close the confirmation window without creating deposits. Select the Do Not Show Again check box if you do not want the confirmation window to be displayed each time a trust deposit is imported. Once this check box has been selected by a user, this window can be reinstated by running the Reset Optional Messages program.
If the entire amount of a trust request is paid via a Trust Request Link, the Mark as Paid check box in the Trust Request will automatically be selected during the import process.
Once the import process is started, a window will be displayed indicating the progress.
Note: The Payment Verification List will be displayed when closing the Import Online Payments window if payments have been imported.
Secure Client Note: Payments for a Secure Client can only be imported by a user with access to the client.
