| Unapplied Payment Options |
The Unapplied Payment Options window is displayed when you save a payment in the Payment Entry window that has an unapplied amount. This window allows you to select what you want to do with the unapplied amount.
Examples: One example why this would occur is in the event a payment is entered for a client that has not yet been billed, thus the client has a balance due of zero. Another example is where the payment entered exceeds the total balance due.
A message similar to the following will be displayed indicating the amount of the unapplied portion of the payment.
The payment amount is $100.00 more than is currently due. Therefore, $100.00 has not been applied to any statement.
| How do you want to handle the unapplied amount? | This area of the window allows you to select how you want Tabs3 to treat the unapplied payment amount. The option selected the last time this window was displayed will be the default. | |
| Save the payment with the unapplied amount to be applied to future statements | Selecting this option will retain the unapplied portion of the payment for future allocation. | |
GL Integration Note: When this option is selected, journal entries for the unapplied amount will be credited to the account specified in GLS Integration Setup (a holding account) and debited to the cash account. Later, when the unapplied amount is applied, usually when Update Statements is run, journal entries for the applied amount will debit the holding account and credit the account specified for payment allocation.
| Go back to the Payment Entry window | Selecting this option will close the Unapplied Payment Options window and return to the Payment Entry window allowing you to make changes. | |
| Deposit the unapplied amount in Client Funds | Selecting this option will open the Client Funds Entry window with a deposit record for the amount of the unapplied portion of the payment. The payment amount in the payment entry window will automatically be reduced by the amount of the unapplied portion of the payment. |
Note: The option to Deposit the unapplied amount in Client Funds is not available when the payment was processed using Tabs3 Pay®, LawPay®, or LexCharge®.
Pre-bill Note: The option to Deposit the unapplied amount in Client Funds is not available when editing payment transactions included on a pre-bill.
GL Integration Note: GL journal entries are not created for the Client Funds deposit.
| Add a new payment for the unapplied amount to a different Client ID | Selecting this option will prompt you for the Client ID of the client you want to transfer the unapplied payment amount to. Once the Client ID is entered, a new payment record will open for the new client for the unapplied payment amount. The payment amount of the original client's payment entry will automatically be reduced by the amount of the unapplied portion of the payment. |
Note: The option to Add a new payment for the unapplied amount to a different Client ID is not available when the payment was processed using Tabs3 Pay®, LawPay®, or LexCharge®.
Pre-bill Note: The option to Add a new payment for the unapplied amount to a different Client ID is not available when editing payment transactions included on a pre-bill.
The OK button can be used to close the Unapplied Payment Options window. The unapplied payment amount will be handled using the method selected.
