Record filtering is available in List windows and the Statement Manager. Filtering provides a means of showing only the records you want to see by hiding records that do not meet the specified criteria. Filtering is especially useful with larger data files, allowing you to quickly sort out unnecessary records. Filtering is more powerful than using an incremental search because incremental search only uses the currently sorted column whereas filtering can use all fields in all records to perform a search.

Records can be filtered in two ways:

Search Box

The simplest form of filtering occurs when using the Search box to enter text. For example, text filtering can be particularly useful if you receive a check without a Client ID or name, but other information is included - such as the Statement Number.

Filter Editor You can create and save filters using the Filter Editor in the Quick Clicks pane. These filters can use simple or complex expressions that you create using the powerful built-in expression editor.

When a filter is employed, only those records that match your criteria will be shown. The filtering status is maintained for individual users when a list is closed and re-opened.

Indicator The filter indicator at the top of the window shows the status of the filtering.
  Filtered

The indicator has a green background and indicates that the records are currently filtered. In this state, different filter criteria may be entered to perform new filtering.

If the Filtered text is followed by an asterisk (*), an index enabled filter is being used to provide faster results. Filter speed improves automatically when the proper filter criteria, sort options, and indexes are available.

Waiting The indicator has a yellow background and indicates Tabs3 Billing is waiting for you to enter additional characters in the Filter Text field or Text Filter box. If no additional characters are entered, the Searching indicator is shown.
Searching The indicator has a red background and indicates that Tabs3 Billing is performing the filtering process and only partial results are shown. Keep in mind that it is not necessary to wait for the filtering process to complete before performing other tasks. For example, if the record you want to select is displayed while the filtering indicator still shows a Searching status, you can select the record without waiting for a Filtered status.

Filtering Completed

Upon completion of filtering, the Filtered indicator will be shown and any selected records will be displayed.

How Filters are Saved

Filters are saved separately for each list. This means that if a filter is created in the Statement Manager, that filter will not be available in the Fee file, and vice versa. Filters created using the Filter Editor are saved and can be used at any time within the list.

Administrative Note: Filter expressions can easily be added for all users. To do this, simply select the Show for all users check box in the Filter Editor window. When the Show for all users check box is selected, all users have access to and can use the filter.

Note: Resetting a User Profile in the User file of System Configuration deletes all filters for the user except for the filter expressions with the Show for all users check box selected.
