The Filter Editor provides a guided means of creating a query expression. Query expressions are Boolean expressions that are evaluated as being true or false; thus providing the ability to incorporate logic into filters and reports. Each row in the Filter Editor consists of a single query. Multiple rows are used when you want to evaluate multiple queries. For example, a single query would be when you want to select contacts whose State (for their default address) is Nebraska (e.g., STATE = ”NE”). An example of multiple queries would be when you want to select contacts who are active (e.g., Inactive = False) and whose State is Nebraska. There is no limit to the number of queries that can be added to a query expression.

The Filter Editor window is displayed when adding or editing a filter via the Manage QuickViews option in the Filter section of the Quick Clicks pane or the Edit menu.

Filter Name The Filter Name can consist of up to 50 characters. The Filter Name is a name assigned to the expression and is used in the Filter group of the Quick Clicks pane. The pipe (|) symbol is not permitted. Spaces are allowed. This field cannot be left blank.
Show for all users

The Show for all users check box can be used to specify whether the filter will be displayed for every user, or if it will be displayed only for the current user. Clearing the Show for all users check box of an existing filter will change the item from being viewable by all users to viewable only by you, regardless of who created the item originally.

Note: Two filters with the same name may exist if one has the Show for all users check box selected and the other does not.

Note: Users must have rights assigned in order to select or clear the Show for all users check box. These rights are assigned in System Configuration (File | Open | Access Profile | Tabs3 | Utilities/View | Manage Quick Clicks Items for All Users).

And/Or The And/Or column is used to select And or Or for subsequent queries. This field is not available for the first query.
And Select And if you want the previous query and the current query to be true in order for the record to be selected.
  Or

Select Or if you want the previous query or the current query to be true in order for the record to be selected.

Note: Multiple queries are tested in the order they are presented. You can use the Move Up and Move Down buttons to change the order of queries as desired.

Field Name

The Field Name column is used to specify the desired field from the file. The button can be used to open the Select Field window.

Note: A Field Name must be selected before being able to specify the Test Condition or Test Value fields in the row.

Test Condition You can select one condition per query. The following test conditions are available:

Contains

Does Not Contain

Equal To

Not Equal To

Greater Than

Greater Than or Equal To

Less Than

Less Than or Equal To

In the Next

In the Last

Older Than

Beyond

Note: The Contains and Does Not Contain conditions can only be used when the selected field is an alpha field.

Note: The following conditions can only be used when the field you have selected is a date field: In the Next, In the Last, Older Than, and Beyond. When using one of these conditions, clicking in the Test Value field opens a Date Range window.

Note: When using the following conditions, date fields that are empty (mm/dd/yyyy) will not be included in the records returned by the filter: In the Next, In the Last, Older Than, and Beyond.

Test Value

The information that can be entered in the Test Value field depends on the field type of the Field Name specified. Enter the value you want used for comparison purposes.

The following options are available for standard alpha, numeric, date, time, or boolean fields. Some fields contain specific values, which can be found in the column layout for the file being accessed.

Note: When comparing a Field Name to an empty field (e.g., filtering for contacts with no email address, etc.), leave this field blank or at its default (e.g., a date field's default is mm/dd/yyyy).

Alpha Alpha strings are allowed when the field is alpha. Maximum of 128 characters.
Numeric Maximum of 14 characters (including decimal point and minus sign if used).
Date An mm/dd/yyyy format is used for date fields.
Time An hh:mm pm format is used for time fields.
Boolean A value of 1 is used for true and a value of 0 is used for false.

The New Row button can be used to add a query to the query expression. After selecting the Field Name, use the mouse to place focus in the different columns to select the other fields in the row.

The New Advanced Row button opens the Advanced Expression Editor Window, which allows you to create complex expressions.

The Delete button can be used to delete the highlighted query. Any subsequent queries will be moved up one position.

The Move Up button can be used to move the highlighted query up one row.

The Move Down button can be used to move the highlighted query down one row.

The Save button can be used to save the filter and close the Filter Editor window.

The Cancel button can be used to close the Filter Editor without saving the filter.
