Note: In many situations, the flat fee adjusting process cannot be easily reversed. Therefore, as a precaution, you may want to consider making a backup before adjusting flat fees. For example, if you adjust a client and realize that you want to reverse it, you could write-up or write-down the client to the same billable amount before the adjusting. However, due to rounding, the amounts may not be exactly the same as they were before the adjusting.

Once a client's transactions have been adjusted, they can be adjusted again as needed before updating their associated final statement. To adjust again, the total amount of billable fees must differ from the Flat Fee Amount in the Client file (e.g., by adding fees, deleting fees, or manually editing the amount of WIP fees).

Only clients with a Billing Rate Code of "0" (zero) will be adjusted. A Billing Rate Code of "0" indicates the client has been set up as a flat fee client on the Rates tab of the Client file.

If a client's Bill On Demand check box is selected and the client's Release To Bill option is cleared, then the client will not be adjusted. The Release To Bill option will need to be selected in order for the client to be adjusted.

When fees are adjusted, only the Amount field of each transaction is affected. The Hours Worked, Hours to Bill, and Rate fields remain unchanged. As a result, adjusted transactions are reported as either written up or written down.

Progress fee transactions (Type 6) and credit transactions will not be adjusted.

Transactions on hold will not be adjusted. These transactions will have Hold in their Status field.

Transactions that have been run on a final statement but have not been updated will be adjusted. These transactions will have Update or Save/Update in their Status field. If transactions that have been run on a final statement are adjusted, another final statement needs to be run after the write-up/write-down is performed.

If the user adjusting flat fee transactions is assigned Tabs3 Timekeepers, only transactions for assigned timekeepers will be included.

Some transactions may differ by $0.01 after the adjustment due to rounding.

The Adjust Flat Fee Clients program will not make adjustments if the total amount of billable fees matches the Flat Fee Amount in the Client file.

Only billable transactions with an amount will be adjusted. The amount of each fee transaction affected will be proportionately adjusted based on the amount. However, exceptions to this general rule include the following:

If all fee transactions have a 0.00 amount, then the transactions will be prorated based on "hours to bill x rate."
If all fee transactions have a 0.00 amount and 0.00 rate, then the transactions will be prorated based on hours to bill.
If all fee transactions have a 0.00 amount and 0.00 hours or if all fee transactions have a 0.00 amount, 0.00 rate and 0.00 hours to bill, then each fee transaction will have an equal amount.
