| Notes About Write Off Client |
Keep in mind the following when writing off a client:
Credit balances (negative due amounts) are not written off.
Progress fees cannot be written off. Progress fees are shown with a "P"
to the right of the fee amount.
Client Funds balances cannot be written off.
Hours cannot be credited when balances are written off.
In order to write off a specific timekeeper for a specific statement, the client's Receipt Allocation by Invoice check box must be selected.
You cannot write off a client's entire balance for a client
who has:
- work-in-process (including payments)
- unallocated payments
- unreconciled progress fees
- no accounts receivable balance
When a specific statement is not selected, how the write off is handled depends on whether the client's Receipt Allocation by Invoice check box is selected.
- If a client's Receipt Allocation by Invoice check box is selected, then when a specific statement is not selected, the write off amount entered is applied toward the client's accounts receivable balance beginning with the oldest statement (ledger record with the oldest reference number) through the newest until the write off amount is reached.
- If a client's Receipt Allocation by Invoice check box is not selected, then when a specific statement is not selected, the write off amount entered is applied proportionally toward each timekeeper's oldest due amount through the newest until the write off amount is reached. Transactions from different statements may be written off when one or more working timekeepers do not have an amount due on the oldest statement.
When a pre-bill exists for a matter, creating a write off will adjust the previous balance and the Client
Write Off Description (if created) will automatically be added to the pre-bill.
GL Integration Note: When Tabs3 Billing is configured to integrate advance Write Offs, writing off a client balance will create adjusting GL journal entries for advance amounts. GL will attempt to create reversing journal entries using the date of the write off. If this date is before the Date through which books are closed, the reversing entries will use the current system date and a GLS Error Report will be generated. If the reversing journal entries are dated after the Restrict Journal Entries to xxx Days in the Future or before the Restrict Journal Entries to xxx Days in the Past, the reversing entries will use the write off date.
