The email option consists of a selector and an email address. Click the selector to choose which email address is displayed. The displayed email address will be used in the Default Bill To record and anywhere the Client Email Address is used.
Each email address is defined and edited by opening the contact record associated with the Contact Name field. Maximum 100 characters. Up to three different email addresses can be defined: Email 1, Email 2, and Email 3. The default email address is always Email 1 and is denoted with an asterisk (*).
Text in the Email field on the Address tab of the Client file can be copied to the Windows clipboard and pasted into other locations using right-click menus or standard keystroke combinations. However, if you attempt to edit the text in the Email field of the Client file, the message "Click the hyperlink next to the Contact Name field to open the Contact Information window to change this information." will be displayed. This message serves as a reminder that information related to the matter contact must be edited in the Contact file, not the Client file.
Once a valid email address is displayed in the Email field, click the
button to the right of this field to open a new email message in your default email program with the To field filled in.
Tip: If a client needs more than three email addresses defined, or if you want statements to be sent to more than two Bill To email addresses, multiple email addresses can be entered in a single email field, separated by a semicolon (;) or comma (,). However, keep in mind that if the same email field is used in reports or document assembly, the full contents of the email field will print.
Secure Client Note: When a client is designated as a Secure Client, the email selector displays Email, and cannot be changed. This is because secure client information is stored in the Client file instead of the Contact file. A single email address can be defined for a secure client on the Address tab of the Client file, and one Additional Bill To record can be defined from the Billing Preferences tab of the Client file.
