The Address consists of a selector and an address block. The selector determines which address is assigned to the client and allows you to view a single address in the address block.

The address selected on the Address tab of the Client file is used for statements, reports, as the default for new matters, and anywhere the client address is referenced. It is also the address used in the Default Bill To record for the client. Changing the address selector will change the address used in the Default Bill To record.

Address information for clients is stored and edited in the Contact file, with two exceptions. If the client is in matter mode or designated as a secure client, then the address information is stored in the Client file. The background color of the address helps you distinguish whether you edit the address in the Client file or the Contact file.

The behavior of the address is determined based on which selector is displayed.

Business

Home

Other

When Business, Home, or Other is displayed, the address selector is a lookup button that allows you to display a read-only address in the address block. These addresses are edited by opening the contact record associated with the Client Name field.

Text in the address block can be copied to the Windows clipboard and pasted into other locations using right-click menus or standard keystroke combinations. However, if you attempt to edit text in the address block of the Client file, the message "Click the hyperlink next to the Client Name field to open the Contact Information window to change this information. Alternatively, to change only this matter's address, choose "Matter" from the Address Selector." will be displayed. This message serves as a reminder that information related to the client contact must be edited in the Contact file, not the Client file; and that you can use matter mode if this address change is only for that matter.

When a new client is created using an existing contact record, the default address is selected via the Default Address check box in the contact record. Although any combination of addresses can be entered, the first defined address from the following list will be marked as the default address: 1) Business; 2) Home; and 3) Other. The default contact address in the address selector is displayed with an asterisk (*) to the right of the address label. Changing the default address for a contact record with an existing client record does not affect the client record.

Matter

When Matter is displayed, a client's address is designated as being in matter mode, and the address is stored in the Client file instead of in the Contact file. The address can be edited in this mode. Text in the address block can be copied to the Windows clipboard and pasted into other locations.

There are three situations in which Matter will be displayed in the address selector:

  • Matter was manually selected for the address selector.
  • A user chose to archive the matter address when the matter was marked inactive.
  • The matter was converted to Version 16 from a prior version and duplicate addresses were encountered.

If at any time you want to re-link the matter's address to the contact record, you can change the address selector to Home, Business, or Other. After changing to another defined address, save the change.

Details The Details button allows you to view and edit a matter mode client's address in the Address Details window as separate fields including Address Lines 1-3, City, State, Zip, and Country.

Secure When a client is designated as a Secure Client, the address selector displays Secure and cannot be changed. Secure client information is stored and edited in the Client file, rather than the Contact file since contacts can be seen by all users and cannot be made secure. A single address can be defined for a secure client on the Address tab of the Client file. If you want to change the address selector from Secure, you must clear the Secure Client check box.
Details The Details button allows you to view and edit a secure client's address in the Address Details window as separate fields including Address Lines 1-3, City, State, Zip, and Country.
