| Expense & Advance Format |
The Expense Format determines the format of the expense section of the statement and the Advance Format determines the format of the advances section of the statement. The following format options are available for both expenses and advances.
| Standard |
The Standard option is for regular billing where all expense/advance entries including descriptions and amounts are shown on the statement in date order along with a total amount. Transactions with the same date are further sorted by reference number. The date of each transaction is always shown. 10/08/21 Mileage to Omaha for Barnes deposition 26.84 10/08/21 Coach Airfare on 10/08/21 to St. Louis, MO 416.00 10/13/21 Mileage to Valparaiso for meeting with Mr. Kelly 18.48 10/18/21 Postage for return shipment of prototype 5.76 10/25/21 Postage for trademark agreement 10.70 ------ Total Expenses 477.78 |
| Tcode Detail with Subtotal |
The Tcode Detail with Subtotal option shows the same detail as the Standard option--date, description and amount for each transaction. However, transactions are listed in transaction code order (as opposed to date order) and a subtotal for each transaction code is printed. A total is printed at the end of the section. Transactions with the same transaction code are sorted by date and transactions with the same transaction code and date are further sorted by reference number. A subtotal prints even if only one transaction has been entered for the tcode. Transactions with a Type of "5" (miscellaneous) will be subtotaled and print as separate detail items. Transactions with a Bill Code of 4 (billable/always print) will be included in a subtotal. 10/08/21 Mileage to Omaha for Barnes deposition 26.84 10/13/21 Mileage to Valparaiso for meeting with Mr. Kelly 18.48 ----- Mileage 45.32 10/18/21 Postage for return shipment of prototype 5.76 10/25/21 Postage for trademark agreement 10.70 ----- Postage 16.46 10/08/21 Coach Airfare on 10/08/21 to St. Louis, MO 416.00 ------ Total Expenses Thru 10/29/21 477.78 Note: The airfare shown in the example above is a Type "5" transaction code. |
| Tcode Subtotal Only |
The Tcode Subtotal Only option subtotals the transactions by transaction code. It prints the default transaction code description with the corresponding subtotal for all transaction codes with a Type of "0" (normal). However, transactions with a Type of "5" (miscellaneous) will print as separate detail items; they will not be subtotaled and the entire description entered in the Cost data entry window will be printed. Transactions with a Bill Code of 4 (billable/always print) will be included in a subtotal. Mileage 45.32 Postage 16.46 Coach Airfare on 10/08/21 to St. Louis, MO 416.00 ------ Total Expenses Thru 10/29/21 477.78 Note: The airfare shown in the example above is a Type "5" transaction code. |
| Summary |
The Summary option prints a summary description of the expenses/advances and a total amount. The summary description is optional and can be produced by making an expense/advance entry that has a transaction code Type of "4" (description only). However, any transactions that have a Bill Code of "4" (billable/always print) will print as separate detail items (only the description will print and the amount will be included in the total). Transactions with a Type of "5" (miscellaneous) are not printed as separate detail items.
