The Reorder Fees utility allows you to change the order in which fees with the same date are displayed on a single statement by moving fees up and down within the list.
Depending on when fees are entered and the reference number that is assigned, the order in which fees are shown on the statement may not be as desired. For example, if a fee for “Review document” is entered and assigned a reference number of 1, and then the fee for “First draft of document” is entered and assigned a reference number of 2, the statement could show that the document was reviewed before the first draft was created. Moving fees up or down via the Reorder Fees utility automatically changes the reference number of the fees. Using this example, moving the “First draft of document” fee up would change the fee’s reference number from 2 to 1.
The order in which fee transactions are printed on a statement is based on three levels:
- First, transactions are sorted by the Subtotal selected on the Fee Format tab of the Statement Template being used (i.e., No Subtotal, Timekeeper, Transaction Code, Category, or Date).
- Next, transactions are sorted by the Date of the transaction.
- Finally, transactions with the same date are sorted by the Reference number of the transaction. This is the order that can be modified using the Reorder Fees utility.
Click the Move Up button or right-click menu to move the selected fee up. The reference number of the fee being moved will automatically be adjusted, as will the reference number for other fees affected. The Move Up button will be dimmed if the selected fee cannot be moved up.
Click the Move Down button or right-click menu to move the selected fee down. The reference number of the fee being moved will automatically be adjusted, as will the reference number for other fees affected. The Move Down button will be dimmed if the selected fee cannot be moved down.
Once a transaction has been moved, the change to the Reference number is immediate. To undo a move, you can move the transaction back to its original position. Once you are done moving transactions, close the Reorder Fees window.
Note: Fees can only be moved up or down within the same date. For example, if there are three fees dated 9/15, and one fee dated 9/16, only the fees dated 9/15 can be moved.
Note: Although credit transactions are included in the list and can be moved, they still print in a separate section for fee credits following all other fee transactions on a statement.
Note: Reordering fees affects the Reference number shown on all reports including the Fee Verification List, Transaction File List, Task Code Billing Report, Detail Work-In-Process Report, and draft statements.
Note: The following message will be displayed if the fee being moved has been deleted since the Reorder Fees window was opened, or if changes to the fee are saved at the same moment the fee is moved: “There has been a critical change to the record being moved. Please verify and perform your action again.”
