| Notes on Renumbering Timekeepers |
Keep in mind the following before renumbering timekeepers:
Archive Files - The timekeeper numbers will be renumbered in the archive files as well. If your archive files are large, allow additional time for the renumber process. |
Timekeeper Rates - When combining timekeepers, neither archive nor work-in-process fee transactions will have their rates changed to the new timekeeper's rate. If you want the rates changed for work-in-process transactions, you can use the Change WIP Transactions utility to change the timekeeper's rates to reflect the new timekeeper's rate. If you need to use the Change WIP Transactions utility to change rates, it may be easier to change the old timekeeper's rates to the new timekeeper's rates before renumbering the timekeeper. Doing this will allow you to use the old timekeeper number as the beginning and ending Fee Timekeeper on the Transactions tab of the Change WIP Transactions utility. |
Fee Rate Table - Combining timekeepers may result in duplicate timekeepers in a fee rate table. Because a fee rate table only allows one rate per timekeeper, the Renumber Timekeeper utility will delete all but the first occurrence of any timekeeper number from the fee rate table. For example, let's say timekeeper #4 is leaving the firm and timekeeper #5 is assuming all of timekeeper #4's clients. If a client has a fee rate table set up that has rates assigned for both timekeepers #4 and #5, after the renumbering process, the rate for timekeeper #5 would be deleted because the rate for timekeeper #4 becomes the first occurrence for timekeeper #5. |
Renumbering Multiple Timekeepers - It is much faster to renumber several timekeepers at one time than it is to renumber each one separately. |
Timekeepers Assigned in System Configuration - Users can be assigned to specific Tabs3 Billing timekeepers via System Configuration. Renumbering a timekeeper in Tabs3 Billing also renumbers the timekeepers assigned in System Configuration. |
Tabs3 Billing Remote - If you use Tabs3 Billing Remote, you must merge all transactions from the remote workstation(s) before renumbering. After renumbering, be sure to recreate the remote validation files and transfer them to the remote workstation(s). |
Data Capture Device - If you are using a data capture device for fee transactions, you must merge all transactions from the device before renumbering. |
Trust & PracticeMaster - Tabs3 Billing, Trust, and PracticeMaster automatically synchronize common data files. As a result, running the Renumber Timekeepers utility in Tabs3 Billing will automatically renumber timekeepers in Trust and PracticeMaster. |
GLS Accounts Table - The Renumber Timekeepers utility also renumbers a timekeeper specified in a GLS Accounts table. If both the timekeepers assigned to the Old Number and New Number have different GLS Accounts assigned, and the Overwrite option is not selected, a message will be displayed indicating that a conflict was encountered and will need to be resolved before continuing. |
Merchant Accounts Table - The Renumber Timekeepers utility will delete any LexCharge merchant accounts used for credit card processing that are defined for the selected timekeepers. A message warning that these accounts will be deleted is displayed when renumbering timekeepers who have merchant accounts defined. |
Report Definitions - The Renumber Timekeepers utility does not update report definitions that reference the renumbered timekeeper. For example, if a report definition specifies timekeeper 6 and timekeeper 6 is renumbered to 9, then the report definition will continue to specify timekeeper 6 until updated. |
