The Use a password to protect PDF statements when emailed check box and field are located on the Billing Preferences tab of the Client file. If the security of emailed PDF statements is a concern for your firm, you can select the check box to assign a password. Upon opening the PDF statement, the recipient will be asked to enter the password.

The password field is disabled until the Use a password to protect PDF statements when emailed check box is selected. The password can have a maximum of 64 characters and is case sensitive. Spaces and special characters are permitted. Passwords are assigned at the matter level so each Bill To contact for a matter will use the same password. Different matters can be assigned different passwords. The password field is not encrypted in the Client file due to the availability of Client file security using secure clients and access profiles.

   To password protect PDF statements

  1. Open the Client file and select the desired client.
  2. On the Billing Preferences tab, select the Use a password to protect PDF statements when emailed check box.
  3. Enter a password in the adjacent field.
  4. Press Ctrl+S to save your changes.

To apply a password to multiple clients, use the Change Client Options program.

The password is not assigned to the PDF statement until the email is sent in order to allow easier review of the PDF file before it is sent. However, if the matter is marked as secure, the password will be assigned when the PDF statement is generated. This ensures that only those with rights to view the secure client's information will have access to the PDF statement.
