Each client can optionally include additional client information on the Custom Fields tab of the Client Information window.

All Click All if you want to include all clients regardless of custom field contents.
Specific Click Specific if you want to specify what custom field contents are used to include or exclude clients. When the Specific option is selected, the Select Custom Fields button will be available. Click this button to specify the custom fields query.

Selecting Specific Custom Fields

After clicking the Select Custom Fields button, the Select Custom Fields Filter window will be displayed, allowing you to specify a filter query, which allows you to include or exclude clients based on the contents of their custom fields.

Filter Builder

The Filter Builder table provides a guided means of creating a query expression for custom fields. Query expressions are Boolean expressions that are evaluated as being true or false; thus providing the ability to incorporate logic into reports. Each row in the Filter Builder consists of a single query. Multiple rows are used when you want to evaluate multiple queries. For example, a single query would be when you want to select clients configured to use Taskbill (e.g., TASKBILL equal to YES). An example of multiple queries would be when you want to select clients who are configured to use Taskbill and have a TyMetrix ID (e.g., TYMETRIX_CLIENT_ID greater than 0). There is no limit to the number of queries that can be added to a query expression.

The following columns are included in the Filter Builder.

And/Or The And/Or column is used to select And or Or for subsequent queries. This field is not available for the first query.
And Select And if you want the previous query and the current query to be true in order for the record to be selected.
Or Select Or if you want the previous query or the current query to be true in order for the record to be selected.

Note: Multiple queries are tested in the order they are presented. You can use the Move Up and Move Down buttons to change the order of queries as desired.

Custom Field Label

The Custom Field Label column is used to specify the custom field being compared. Specify the Label used in the Custom Field Table for one or more clients. This field has autofill capabilities.

Note: Autofill defaults the Custom Field Label to all capital letters, however this field is not case sensitive.

Note: A Custom Field Label must be selected before being able to specify the Test Condition or Test Value fields in the row.

Test Condition You can select one condition per query. The following test conditions are available:

Contains

Does Not Contain

Equal To

Not Equal To

Greater Than

Greater Than or Equal To

Less Than

Less Than or Equal To

Test Value

The Test Value field is used to specify the criteria being compared to the contents of the custom field. Enter the value you want used for comparison purposes. An alpha string is allowed, with a maximum of 128 characters. This field is not case sensitive.

The New Row button can be used to add a query to the query expression. Use the mouse to place focus in the different columns to select the other fields in the row.

The Delete button can be used to delete the highlighted query. Any subsequent queries will be moved up one position.

The Move Up button can be used to move the highlighted query up one row.

The Move Down button can be used to move the highlighted query down one row.

The Save button can be used to save the filter and close the Client Custom Fields Filter window.

The Cancel button can be used to close the Client Custom Fields Filter without saving the filter.

Client Custom Fields Filter Examples

Client Custom Field Filters can be very useful in narrowing down the records to clients that have specific information required by insurance companies for task based billing that can be used with the optional Tabs3 Taskbill application. The following examples portray how the various field types can be used in expressions.

TYMETRIX_CLIENT_ID greater than 0

Displays records where the client matter has a TYMETRIX_CLIENT_ID custom field defined with a value other than zero. The TYMETRIX_CLIENT_ID field is common when using the LEDES 1998B with the TyMetrix subformat.

Note: The custom fields used for each Taskbill format are specified in Knowledge Base Article R11737, “Configuring and Using Taskbill.”

TASKBILL equal to YES Displays records where the client matter has a TASKBILL custom field defined with a value of “YES.”
TASKBILL not equal to YES

Displays records where the client matter either does not have a TASKBILL custom field defined, or has a TASKBILL custom field defined with a value other than “YES.”

Tip: If a client matter does not have a custom field defined, it can still be included in a query when using a Test Condition of Does Not Contain or Not Equal To.
