| Process Not Allowed - Undo Updated Statement |
When trying to undo a statement in Tabs3, the following situations will prevent a statement from being undone and a message will be displayed indicating that the process is not allowed. If you are undoing multiple statements and any individual statement cannot be undone, a message will be written to the Undo Updated Statements Error Log file.
- Tabs3 will check if the statement specified was the last statement updated for the client. If other statements have been updated after the specified statement, the statement cannot be undone until the subsequent updated statements are undone. Statements must be undone in the opposite order in which they were updated.
- Tabs3 will check if a write off has been applied to the specified statement. If a write off has been applied to the statement, the statement cannot be undone until the write off has been reversed.
- Tabs3 will check if archive totals and ledger totals match. These totals must match in order to undo an updated statement.
- Tabs3 will check if the applied payment amount and payment detail amounts match for any payments that were on the statement. These amounts must match in order to undo an updated statement.
- Tabs3 will check if the statement was created as a result of entering balances via the A/R and Fund Balances tab in Client Information. Statements created via entering initial balances on the A/R and Fund Balances tab cannot be undone.
- Tabs3 will check if the statement was updated using Tabs3 Version 9 or later. Statements updated with earlier versions of Tabs3 cannot be undone.
When the "Process not allowed" message is displayed, you have the following options:
- If you are trying to undo a statement that is NOT the last statement updated
for the client, undo the statements in reverse update order.
- If you are trying to undo a statement for which a write off has been applied,
reverse
the write off applying to a statement.
- Restore the data to a back up that was made prior to updating the statement.
- Final bill and update credit transactions using the following procedure:
- From the Reports menu, point to Management, and select Client Ledger Report.
- On the Client tab, select the client for which you want to undo the statement.
- On the Options tab, select the Detail option in the Type section.
- In the Print section, select the Detail Information for each Statement check box.
- Click OK to print the report.
- Once the report is printed, find the statement you want to undo.
- Enter new credit transactions for the amounts that were updated. For example, if timekeeper MLJ had $100 billed and timekeeper RJB had $250 billed, enter in new fee credit transactions for each of those timekeepers with those amounts.
- Run a final statement with only the credit transactions using the original statement date.
- Update the final statement.
