Credit card payments that are deleted or adjusted in Tabs3 Billing automatically attempt to void or credit the associated transactions in the LexCharge system. The Payment Adjustment program is used to reverse or refund the payment in Tabs3 Billing.

  1. In the Quick Launch, search for and select “Payment Entry.”
  2. Select the payment transaction associated with the credit card payment. (Note that only work-in-process payments are available to be credited in this manner.)
  3. Click the button to delete the payment transaction.

       ... or ...
  1. In the Quick Launch, search for and select ”Payment Adjustment.”
  2. Select the payment transaction associated with the credit card payment.
  3. Select to perform a Reversal (crediting the entire amount of the payment) or Refund (crediting an unallocated portion of the payment).
  4. Select a Date of Adjustment for the Tabs3 Billing payment. (Note that this date is not used for the date of the credit in the LexCharge system. The current system date is used.)
  5. Click OK to perform the adjustment/credit.

Note: Tabs3 Billing attempts to Void a credit card transaction first. Normally, a Void can only be processed the same business day.

If a credit card transaction cannot be voided, Tabs3 Billing will then attempt to credit the transaction. Credit card transactions can normally be credited for up to 90 days on the LexCharge system. After that time, Tabs3 Billing may not be able to process the transaction, and a message will be displayed. In this case, the payment will not be adjusted, and manual adjustments may be required. After this time, it is recommended that a check is processed for the credit, either manually, or using Tabs3 Accounts Payable (AP).

Integration Note: If Tabs3 Billing is integrated with Tabs3 General Ledger (GL) and AP, you will be prompted whether the credit should be applied to the credit card, or if a manual check will be sent in AP. Allowing Tabs3 Billing to credit the credit card transaction will create adjusting GL journal entries. Selecting the option to create a check in AP will prevent Tabs3 Billing from creating reversing journal entries in GL, because these entries will be created by AP when the check is posted.

Caution: In the event you need to restore from a backup, it is important to realize that restoring from a backup does not affect the LexCharge website. Therefore, any credit card activity that has occurred since the backup you are restoring was made will still be present in the LexCharge system, but not in Tabs3 Billing. When reentering credit card transactions or performing payment adjustments again, you will need to avoid creating duplicate records on the LexCharge site by selecting the option not to link the transaction to LexCharge.
