| Additional Recipients |
The Additional Recipients section of the Email Templates window allows you to send a copy of the email message to additional recipients using the Cc and Bcc fields.
| Cc Recipients |
Maximum 1,000 characters. The Cc Recipients field allows you to enter additional email addresses that will receive a carbon copy of the email. Multiple recipients can be separated by a comma. All recipients in this field will be sent a copy of the email message and attachments for each Bill To contact who is assigned this email template. |
| Bcc Recipients |
Maximum 1,000 characters. The Bcc Recipients field allows you to enter additional email addresses that will receive a blind carbon copy of the email message. Copies sent in this fashion will not display the Bcc recipient's email address to the other recipients of the email message. Multiple recipients may be separated by a comma. All recipients in this field will be sent a copy of the email message and attachments for each Bill To contact who is assigned this email template. |
Tips: When emailing statements from Tabs3 via Microsoft Outlook, sent emails will be retained in the active Outlook profile's Sent Items folder. However, if multiple people will be emailing statements, the sent emails will be in each of these senders' Sent Items folders, as opposed to being in a single consolidated folder. For that reason, you may want to consider including the firm's address as a Bcc Recipient.
When emailing statements from Tabs3 via SMTP, a copy of the email message is not retained in the sender's Sent Items folder. If you want to retain a copy of the email statement for tracking purposes, add the desired recipient, such as the firm's email address, as a Bcc Recipient for each email template.
To avoid storing hundreds of statement emails in your personal email folders, consider setting up a separate email address, such as "billing@yourfirmname.com," to store copies of these emails. Alternatively, you can set up an email filtering rule in the desired email account to sort emails with certain content into a specific folder. For example, in Microsoft Outlook, you can select to "Move messages with specific words in the subject to a folder" and then select "specific words" to enter a portion of the non-variable text. Then, to further ensure only statement emails are sent to that folder, you can also add to the rule that the From Address is the "from people or distribution list" address. These options allow you to store sent statement emails without allowing them to take over an account that is already in use.
