The HotBackup menu option opens the HotBackup Progress window. The HotBackup Progress window can be used to determine the status of a current HotBackup in progress, or to start a new HotBackup if one is not already in progress. The HotBackup utility is used to make a temporary backup of the data files for all software products installed in the Current Working Directory. This includes System Configuration, Tabs3 Billing, PracticeMaster, Trust, AP, and GL. All GL clients are included in the HotBackup.

Note: This menu option is not shown if the Enable HotBackups check box is cleared on the HotBackup Folder tab of the Platinum Server Configuration window in System Configuration.

Caution: This backup method is a temporary data backup and is not intended to replace your regular backup procedures. It is important to make sure that regular backups are kept off site in case of hardware failure, theft, flood, etc.

The following options are available in the HotBackup Progress window:

Last Successful HotBackup This section provides information about the last successful HotBackup that was made.
Date The date and time of the last successful HotBackup.
Created by The User ID that was used to create the last successful HotBackup. If the last successful HotBackup was a scheduled one (i.e., it was not initiated by a user), this field will have a value of "Scheduled." HotBackups can be scheduled on the HotBackup Schedule tab of the Platinum Server Configuration window in System Configuration.
Process Time The time required to create the last successful HotBackup.
Status The current status of the HotBackup. The status in the order it occurs is "Inactive," "Pending," "Saving," "Validating," "Cleanup," and "Complete."
Next HotBackup The date and time of the next scheduled HotBackup. If one is not scheduled, the text "None Scheduled" will be shown. HotBackups can be scheduled on the HotBackup Schedule tab of the Platinum Server Configuration window in System Configuration.

Note: When a HotBackup is in progress, this field is replaced by the Phase field.

Phase The current task being performed by a HotBackup in progress. The value of this field will vary depending on the current Status and the overall progress of the HotBackup.

Note: This field is only displayed when a HotBackup is in progress.

Time Remaining The time remaining before the next scheduled HotBackup will begin. If one is not scheduled, the text "N/A" will be shown. HotBackups can be scheduled on the HotBackup Schedule tab of the Platinum Server Configuration window in System Configuration.

Note: When a HotBackup is in progress, this field is replaced by the Elapsed Time field.

Elapsed Time The amount of time that has passed since the HotBackup was started.

Note: This field is only displayed when a HotBackup is in progress.

Completion Status The overall progress of the current HotBackup, represented by a progress meter.

The Begin HotBackup button can be used to start a HotBackup. This button will be unavailable if a HotBackup is currently in progress.

The Close button can be used to close the HotBackup Progress window. Closing the HotBackup Progress window does not stop a HotBackup already in progress.

The Abort button is shown briefly when a HotBackup is first started and can be used to cancel a HotBackup in progress. Before critical files are backed up, there is a brief moment during which a HotBackup may be aborted. It is during this period in which the Abort button is displayed.

Note: When using the non-Platinum edition of the software, the HotBackup menu option is replaced by the Back Up Data Files menu option.
