| When GLS Journal Entries Are Created for Payments |
Tabs3 automatically allocates payments at the time of payment entry when there are amounts due, based on the client's Method to Apply Payments and fee compensation rules. When this allocation occurs, and Tabs3 is configured to Integrate with Tabs3 General Ledger in Customization, journal entries will be created based on what allocation posting methods are selected in GLS Integration Setup.
Payment Allocation
Payment transactions in Tabs3 can create journal entries in GLS automatically when the payment is allocated. There are three instances when payments can be allocated:
| Payment transaction is saved | When a payment transaction is saved and there is an accounts receivable balance due, the payment amounts will be allocated immediately. How the payment is allocated depends on the type of accounts receivable balance due (fee, expense or advance), the type of payment being saved (regular, fee only, expense only, or advance only), and the amounts of the accounts receivable balance and the payment. The payment can be partially allocated, with an amount being posted to the unallocated payment account in GLS to be allocated at a later time. |
| Payment allocation is changed | When a payment's allocation information is changed, additional journal entries may be created.
If additional accounts receivable balances exist, changing the payment allocation will create additional
allocation amounts and journal entries. This can be done by opening the Payment file (File
| Open | Payments), selecting the existing payment reference
number, then clicking the |
| Final statements are updated | When a final statement is updated, new accounts receivable balances are created. When the statement is updated, any unallocated payments that have already been updated, automatic client funds payments, or unallocated work-in-process payments that are included on the statement will automatically be allocated to the new accounts receivable balances. |
